About the Role

Ontra is seeking a Senior Manager, Billing & Collections to join our growing Finance and Accounting team.

In this role, you will own the end-to-end performance of Ontra’s Billing & Collections function, leading a team that includes Team Leads and their direct reports, and ensuring accurate, timely invoicing and effective collections at scale. Billing & Collections is a high-visibility, highly respected function at Ontra, and you will partner with Finance and cross-functional leadership to drive operational excellence and continuous improvement.

If you are a hands-on leader with deep operational expertise, strong attention to detail, and a track record of building high-performing, resilient teams and scalable processes, we’d love to get to know you!

What You'll Do

  • Billing & Collections Ownership: Serve as the functional owner and primary escalation point for all billing and collections activities, including invoice processing cycles, e-billing submissions, cash application, and accounts receivable management. Own key performance metrics such as DBO, invoice accuracy, and on-time delivery.

  • Cross-Functional Partnership: Build trusted relationships with Customer Success, RevOps, Sales, Accounting, Legal, and Engineering. Translate billing complexity into clear, actionable communication, and approach cross-functional issues with a focus on finding paths forward rather than just surfacing blockers.

  • Team Leadership & Development: Serve as a leader of leaders, coaching Team Leads to build their own management capability and elevate team performance. You will prioritize documenting institutional knowledge and creating accountability structures to ensure the function scales effectively without heroic reliance on any single individual.

  • Process Excellence & Documentation: Establish and maintain documentation, KPIs, and accountability structures that support a high-volume, multi-system environment. Partner with Finance and Engineering on AI and automation initiatives to improve efficiency and scalability across billing workflows.

  • Month-End Close & System Ownership: Act as a power user of the billing and ERP systems (e.g., BillingPlatform, NetSuite), responsible for configuration, reporting, and issue resolution. Own key month-end close responsibilities, including reconciling payments, credits, and invoices across systems. Partner with Accounting on financial statement audit support.

  • Accuracy and Operational Rigor: Maintain a high standard of accuracy across all billing and collections activities through an “audit-first” lens. You will treat data anomalies as signals worth investigating, proactively resolve discrepancies before they impact customers or financial reporting, and translate findings into sustainable process improvements.

What You'll Bring

  • Experience: 6+ years in Billing & Collections, with 4+ years managing a team that includes managers with their own direct reports. Experience in a LegalTech, legal services, or SaaS environment is a plus.

  • Domain Expertise: Deep knowledge of invoicing workflows, e-billing (including LEDES files and portals such as Tymetrix or CounselLink), cash application, and AR management. You are comfortable operating at scale in high-volume environments and managing the nuances of complex billing arrangements—specifically a mix of subscription and consumption-based models—with enough high-level understanding of revenue recognition (ASC 606) to proactively flag potential impacts for the Accounting team.

  • Systems & Tools: Power-user experience with billing and ERP platforms such as BillingPlatform, NetSuite, or comparable systems. Comfortable with system configuration, custom reporting, and troubleshooting integration issues in partnership with technical teams.

  • Operational Rigor: Exceptional attention to detail and ability to maintain high standards across a multi-system, high-volume environment. Proven track record of building scalable processes, documentation, and accountability structures that enable consistency and accuracy over time.

  • Communication & Collaboration: Skilled at building strong cross-functional relationships and navigating complexity across teams. Able to translate billing concepts into clear, actionable communication and drive issues to resolution.
